Power Automate Terms

  • Flow: an automation made from a trigger and one or more actions.
  • Trigger: the event that starts a flow.
  • Action: a step that does work after the trigger.
  • Connector: the integration between Power Automate and another service.
  • Dynamic content: values supplied by previous steps in the flow.
  • Expression: a formula used to transform, test, or format values.
  • Run history: the record of each flow run, including inputs, outputs, and errors.
  • Condition: a branch that chooses which actions to run based on a test.
  • System of record: the agreed location of the authoritative process record.
  • Connection: an authenticated link used by a connector; its account and permissions matter.
  • Idempotency: designing repeat runs so they do not create unintended duplicate effects.

Common Expression Functions

Function Use
concat() Join values
formatDateTime() Format dates
coalesce() Provide a fallback value
if() Return a value conditionally
equals() Compare values
contains() Test whether a value contains another value
toLower() Standardise text
replace() Replace text
split() Break text into a list
length() Count characters or items

Excel Requirements

Power Automate works most reliably with Excel when the data is in a named table inside an .xlsx workbook stored in OneDrive or SharePoint.

The supplied workbook is Example_table.xlsx, with table Table1 and columns First Name, Last Name and Email. See Setup for downloads and safe test addresses, and the Excel Online (Business) connector reference for current requirements and limitations.

First Troubleshooting Checks

Symptom Check before changing the design
Flow never starts Is it enabled? Does the trigger watch the correct location, and did the required event occur?
File or table is missing Check the selected cloud location, file permissions and named table.
A field is blank or wrong Inspect the earlier action’s output and the dynamic content mapping.
Wrong approval branch runs Compare the recorded outcome with the condition; treat rejection as a valid outcome.
Word action is unavailable Check connector access and licensing; use the email-body fallback described in Setup.
A message was sent twice Inspect run history and the source record before retrying; decide how repeats should be handled.

Record the flow name, failed step, run time, expected result and observed result when asking for help. Share only the information a colleague needs; run-history inputs may contain data with restricted access.

Reusable Checks

The Additional Material contains a test matrix and a handover record. Use them alongside Power Automate Fundamentals when developing a flow beyond the workshop.
